Export guide

How to export your Read AI transcripts

Read AI captures transcripts, summaries, and action items from your calls on Zoom, Google Meet, Teams, and Webex. Exporting individual transcripts is straightforward. Bulk export is where it gets complicated. This guide covers both.

The easiest method: download from meeting reports

Step 1

Open your meeting report

Go to app.read.ai and find the meeting in your dashboard. Click into the meeting report.

Step 2

Click Download and select Transcript

Click the Download button in the top-right of the meeting report. A dropdown appears with options for which sections to download. Select Transcript. The file downloads to your computer.

Step 3

Repeat for each meeting

There is no multi-select or bulk download. Repeat the process for each meeting you want to export. Save files with clear names (e.g. 2026-03-15-client-name.txt).

For bulk (going forward): set up Zapier

If you want every future transcript saved automatically, create a Zapier integration using the "New Read AI Meeting" trigger. Connect it to a Google Drive action that saves the transcript to a specific folder. Once configured, every new meeting transcript lands in your Drive without any manual steps.

Important limitation

Zapier only captures new meetings from the moment you set it up. It will not retroactively export your historical archive. For past transcripts, you need to download manually or use the API.

Power user: API, webhooks, and MCP

Read AI offers several programmatic access options for teams that need more control:

For historical archives of any significant size, the API is the practical path. Contact Read AI support for guidance on access and rate limits.

Gotcha

Workspace admins can disable downloads. If you don't see the Download button, check with your workspace administrator. Video downloads require the Enterprise plan, but transcript text export is available on all plans including Free (5 meetings/month).

Honest note

There is no native way to bulk export historical transcripts from Read AI. Zapier only captures new meetings. For historical archives, your options are manual downloads, the API, or contacting Read AI support. If that sounds like too much work, we can help.

Frequently asked questions

Can I export all my past Read AI transcripts?

Not easily. There is no native bulk export for historical transcripts. Download them one at a time from meeting reports, use the Read AI API for programmatic access, or contact Read AI support for assistance with large archives.

Does Zapier capture old meetings?

No. The Zapier integration only triggers on new meetings going forward. It will not retroactively export your historical meeting archive. For past transcripts, you need to download manually or use the API.

What plan do I need for webhooks?

Webhooks require the Enterprise+ plan. They push meeting data (including transcripts) to external systems automatically. The API and MCP access may be available on lower tiers — check Read AI's current pricing for details.
